The difference between a quotation and an estimate is not a matter of style, and it is the single thing most worth getting right on this document. A quotation is a fixed price you are offering to hold. An estimate is your considered guess at a price that may move. Use the wrong word and the argument that follows a cost overrun starts from the wrong place: a client holding something headed QUOTATION reasonably expects the number to stand. If the figure genuinely could change, call it an estimate and say on the document what would change it.

You add your details and the client, list what you are quoting for with quantities and prices, set the tax and any discount, and choose the date the price stops standing. The document updates as you type and downloads as a PDF, with no account and no watermark.

The valid-until date is the field people skip and then regret. Thirty days is the usual default, and it is doing real work: without it, a price you calculated on this month's material costs, this month's exchange rate and this month's subcontractor availability is a promise with no end. Shorten it when any of those three is volatile. A quote that expires is not aggressive — it is the ordinary way of saying that the number was true when it was written.

How to present tax depends on who is reading. A consumer wants the tax-inclusive figure, because that is what leaves their account; a VAT-registered business reads the pre-tax figure, because they will reclaim the rest. Setting a rate here prints the subtotal, the tax and the total on separate lines, which serves both without you having to decide which reader you have. Where a small-business exemption or a reverse charge applies, say so in the notes.

Most disputes about a quotation are not about the total. They are about scope: what the price covered, and what turned out to be extra. The notes field is where a quote earns its keep — state what is included, name the obvious things that are not, give the payment terms, and say what happens if the specification changes. Two rounds of revisions included, further rounds at an hourly rate, is a sentence that prevents a specific and very common argument.

When a quote is accepted, keep the line items and carry the quote number onto the invoice. That reference is what stops a client querying an amount they already agreed to, and it makes the pair of documents auditable as one transaction.
