Most invoices are not paid late because of the work — they are paid late because something on the document gave the other side's accounts team a reason to set it aside. A missing purchase order reference, no clear due date, a description too vague to match against a budget line, or bank details that do not appear at all. An invoice is a payment instruction, and it works when it leaves nothing to interpret.

You fill in the sender and recipient, the line items with quantity and rate, the tax rate and the payment terms, and see the finished invoice update as you type. Totals, tax and the grand total are calculated per line and for the document, so rounding errors do not creep in, and you download it as a PDF ready to send.

What every invoice should carry, regardless of country: your business name and address, the client's, a unique invoice number, the issue date, a clear description of what was delivered, the amounts before and after tax, the total due, the payment due date, and how to pay you. Local rules add to that list — VAT registration numbers, tax identifiers, or a statement when a small-business exemption applies — so check the requirements where you invoice.

The invoice number deserves more care than it usually gets. It must be unique and it should follow a scheme you keep to, because that is what makes a year's invoices auditable. Year-and-counter formats such as 2026-001 work well: they sort correctly, reveal gaps at a glance, and reset cleanly each year. Never reuse a number when you cancel an invoice; issue a credit note with its own number that references the original.

Two habits that shorten payment time more than any wording: state a specific date rather than "net 30", because a date needs no arithmetic and no interpretation; and send the invoice to the accounts address rather than only to your contact, since a person on holiday should not be able to stall a payment.
