Enter hours as decimals, not as clock time. A payroll system, a spreadsheet and this page all multiply hours by a rate, and 7:30 is not a number that can be multiplied — 7.5 is. This is the single most common error on a hand-written timesheet, and it does not announce itself: 7:30 typed into a cell that expects a decimal quietly becomes seven and a half hours in some tools and something else entirely in others. The hours field here steps in quarters, because quarter-hours are what most contracts round to.

You add your name and the client or employer, then a row for each day with the date, what you worked on, the hours and your rate. The hours and the money are totalled separately and the document downloads as a PDF. There is no account, no watermark and no limit on rows, so a month of daily entries is as workable as a week.

Converting minutes is where hours are quietly lost. Divide by sixty: 15 minutes is 0.25, 30 is 0.5, 45 is 0.75. The awkward ones are the thirds — 20 minutes is 0.33 and 40 is 0.67 — and rounding those down to 0.3 and 0.7 looks harmless until you do it twenty times in a month and have given away about half an hour. Ten minutes is 0.17, 50 is 0.83. If your agreement rounds to the nearest quarter-hour, round each day rather than the total, because rounding the total once hides which day it came from.

The two totals do different jobs, which is why a timesheet showing only one always ends up needing a second document. The hours total is what a supervisor signs off and what a payroll department checks against a contract. The money total is what a contractor puts on an invoice. Printing both, with the rate visible per line, means the person approving it can see how the figure was reached instead of having to trust it.

Weekly suits contractors invoicing in arrears; monthly suits a salaried overtime record. Either way the period-ending date is what makes two timesheets tell themselves apart — a stack of documents headed only TIMESHEET, with the same name on each, is unfilable. Give each one a number as well: TS-2026-W35 carries both the year and the week and sorts correctly wherever it lands.

Many clients accept a timesheet as the billing document in its own right, since it carries the rate and the totals. Where a formal invoice is required, the cleanest arrangement is to keep the timesheet as the supporting document and raise a separate invoice for the total that references the timesheet number, so an approver can move between the two. Nothing you enter is stored; the PDF is built and the data discarded.
