An invoice asks for money and a receipt confirms it arrived. They sit at opposite ends of the same transaction, and confusing them is the most common fault in free templates: a document headed RECEIPT that carries a due date and a balance owing is an invoice wearing the wrong hat, and it will not do the job the person asked for it needs it to do. A receipt is issued after payment, it is marked as paid, and it states how the money moved.

What a receipt has to carry is short and rarely complete in practice: who received the money, who paid it, the date, the amount, what it was for, how it was paid, and a unique number. A tax or VAT number is required in many countries whenever the payer will claim the expense against their own income — put yours in the tax field and it prints beneath your name. Where a payment settles a specific invoice, name that invoice in the description; that single reference is what allows two sets of books to reconcile without a phone call.
Rent is the case people most often need this for, and it has one extra requirement: the period. "Rent received, 4 Mill Lane" proves a payment happened at some point. "Rent, 4 Mill Lane, 1–30 September 2026" proves which month was paid, which is the thing a tenant may need to demonstrate months later to a letting agent, a housing office or a court. Put the property and the dates in the description, not just the word rent.
Cash is where a receipt matters most, because it is the only case with no bank record standing behind it. A card payment leaves a statement line on both sides and a transfer leaves a reference; cash leaves nothing but the piece of paper. Write Cash in the payment method, issue the receipt at the moment the money changes hands rather than later, and keep a copy — for cash, the receipt is the entire evidence trail for both parties.
Give receipts their own numbering sequence rather than sharing one with your invoices. A run such as REC-2026-231, referencing the invoice in the description, keeps the two documents independently auditable; a shared sequence makes both harder to follow.
